Privacy Policy

Quincy Pilot (“Quincy Pilot”, “we”, “us”) provides product strategy and software development services, including full stack web applications and AI enabled workflows. This Privacy Policy explains what we collect, how we use it, how we share it, and your choices. We handle personal information in line with British Columbia's Personal Information Protection Act and Canada's Personal Information Protection and Electronic Documents Act.
01What we collect
Access and inquiry info. Name, email, company, role, and anything you submit in forms or messages.
Project materials. Documents, specs, concepts, designs, code, datasets, credentials, or other information you choose to share during scoping or delivery.
Technical data. IP address, device and browser details, approximate location derived from IP, timestamps, and logs used for security, abuse prevention, and basic analytics.
Cookies and similar tech. Used for site functionality and analytics.
02How we use information
Provide services and respond to you. Schedule calls, evaluate fit, scope work, deliver requested services, and communicate about your request.
Operate and improve. Maintain the site, prevent abuse, troubleshoot, and improve performance and usability.
Security. Verify integrity of requests, detect fraud and spam, and protect our systems.
Optional updates. If you opt in, we may send product and service updates. You can unsubscribe at any time.
03Client materials and confidentiality
Your materials remain yours. We treat project materials you share as confidential and use them only to scope, deliver, and support the services you request.
No training on your content without permission. We do not use your project materials to train our AI models or third party AI models unless you give explicit written permission.
Access controls. Client materials are limited to authorized personnel and vetted service providers who are bound by confidentiality obligations.
NDA support. If we execute a separate NDA with you, that agreement governs confidentiality terms for the relationship. This Privacy Policy does not replace a signed NDA.
04Cookies and analytics
We use cookies or similar technologies to keep the site working, remember preferences, and understand how pages are used. You can control cookies through your browser settings. Disabling some cookies may affect site functionality.
05Legal bases
Canada. We collect, use, and disclose personal information for purposes a reasonable person would consider appropriate, including delivering requested services and operating our business.
EU and UK where applicable. We may rely on consent, contract, legal obligation, and legitimate interests depending on the interaction.
06Sharing
We may share personal information with service providers that help us operate, such as hosting, email, forms, analytics, and scheduling. They act under our instructions and with appropriate safeguards.

Our systems and service providers may store or process information outside your province or country, including the United States. We use contractual and organizational safeguards consistent with applicable privacy requirements.

We use reasonable safeguards such as encryption in transit, least privilege access, and operational controls. No method is one hundred percent secure, but we continuously improve protections.
09Retention
Inquiry and access request data is retained as long as needed to respond and maintain records, then deleted or anonymized when no longer required.
Client materials are retained only as needed to provide services and for legitimate business purposes, then deleted or returned on request where feasible.
10Your rights and choices
Email preferences. Unsubscribe using the link in our emails.
Access and correction. You can request access to, or correction of, personal information we hold about you.
Complaints. If you have concerns, contact us first. You may also contact the Office of the Privacy Commissioner of Canada.
11Public website content and updates
Our website may include general descriptions of services, workflows, examples, prototypes, templates, and metrics. These materials may be updated over time, and some items may be illustrative or provided for demonstration purposes. You should not treat public website content as a guarantee of current processes, staffing, availability, or results.
